Overview

The Senior Executive Assistant provides high-level administrative support to company executives by conducting research, preparing statistical reports, handling highly confidential information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings for executives.

Qualifications

EXPERIENCE AND EDUCATION

  • High School Diploma or equivalent combination of education and work experience
  • 18 months of full-time work experience directly related to the role.

  • Excellent time management
  • Collaborates effectively with associates at all levels of the organization
  • Must be extremely flexible and able to change directions quickly
  • Strong business acumen and a demonstrated track record of success in problem-solving.
  • Customer service and quality fundamentals, MS Office, Outlook, Word, Excel and PowerPoint, Internet Explorer, company’s intranet system and corporate policies and procedures
  • Demonstrates strong ability to exercise sound judgment
  • Excellent relationship building, interpersonal and influence skills with internal and external customers
  • Highly collaborative, innovative, and creative in approaching and accomplishing all work
  • Excellent at identifying and resolve issues, make decisions on behalf of executives, and handle unexpected challenges
  • Maintain a professional demeanor due to often serving as a representative of the supported executives
  • Ability of maintaining confidentiality due to access to sensitive information

Essential Functions

  • Assist Senior Leadership as needed with all administrative duties
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Screen visitors and determine whether they should be given access to specific individuals.
  • Read and analyze incoming emails, memos, submissions, and reports, some of which is highly confidential, to determine their significance and plan their distribution.
  • Plan and organize on-site and/or virtual meetings including monthly financial meetings, quarterly board meetings and team events off site. This includes handling all travel and meeting document preparations.
  • Manage facilities, office space and vendors.
  • File and retrieve corporate documents, records, and reports.
  • Coordinate high volume domestic and international travel arrangements for executives including both commercial and private air travel.
